It functions as a board-governed digital institution and Virtual Office of Proprietary Planters Alliance (Private) Limited, created to serve Sri Lanka's proprietary planters, land-based investors, advisors, researchers, and service providers with professionalism, accountability, and legal certainty. These non-negotiable web policies exist to protect users, Directors, and the institution itself, and to ensure that every interaction on the platform meets the highest standards of trust, transparency, and lawful conduct expected of leading Sri Lankan digital platforms.

These policies are formally approved by the Board of Directors at its 3rd Board Meeting held on 18 January 2026, adopted by wide-majority resolution, and are binding with immediate effect on all users, staff, consultants, developers, and third-party service providers. They reflect Sri Lankan law as well as globally recognized best practices in digital governance.

Legal Foundation and Jurisdiction

www.planters.lk is owned and operated by a company duly incorporated under the Companies Act No. 07 of 2007 of Sri Lanka. All access to, and use of, the platform is governed exclusively by the laws of Sri Lanka. By browsing, registering, submitting information, uploading documents, or making payments through the platform, users expressly agree that Sri Lankan law applies and that the courts of Sri Lanka have exclusive jurisdiction.

The platform operates in compliance with all applicable statutory frameworks, including the Electronic Transactions Act, Computer Crimes Act, Personal Data Protection Act, Online Safety Act, Intellectual Property Act, Evidence (Special Provisions) Act, and the .LK Domain Registration Policy, together with applicable principles of contract law, tort law, and sector-specific plantation, environmental, and commercial regulations. These legal obligations are mandatory and cannot be varied by informal assurances or individual arrangements.

Purpose and Nature of the Platform

The purpose of www.planters.lk is to function as a secure information portal, professional Virtual Office, advisory and facilitation platform, and networking hub for Sri Lanka's plantation and land-based investment ecosystem. The platform enables communication, knowledge sharing, document exchange, service coordination, and structured engagement between users and the institution.

All information and services are provided on an "as-is" and "as-available" basis. The platform does not provide guarantees of financial returns, agronomic performance, regulatory approvals, or commercial success. Nothing published on the platform should be interpreted as binding legal, financial, investment, or professional advice unless expressly agreed under a separate written contract. Users remain solely responsible for their decisions and for obtaining independent professional advice where appropriate.

Platform Roles, Access Levels, and Authority Segregation

www.planters.lk operates as a multi-role digital platform comprising public visitors, registered users, members or retainer clients, service providers, Directors, administrators, and authorized technical personnel. Access to information, documents, dashboards, and functionalities is strictly governed by role-based access controls and internal authorization rules approved by the Board of Directors.

Users acknowledge that visibility, permissions, and actions available to them may differ depending on their assigned role, and that no user is entitled to access information or functions beyond those expressly granted. This segregation of access is a core governance and security control of the Virtual Office and forms part of the Company's compliance with data protection, confidentiality, and directors' fiduciary obligations.

Standards of User Conduct and Acceptable Use

Every user of www.planters.lk is expected to act lawfully, honestly, and responsibly. Users must provide accurate information, respect intellectual property rights, and use the platform only for legitimate purposes. Any attempt to misuse the platform—whether through unauthorized access, data extraction, system interference, publication of misleading or defamatory material, cyber-offences, payment fraud, or online abuse—is strictly prohibited.

To protect the integrity of the platform and the safety of its users, the Company reserves the right to monitor activity, remove content, restrict access, or suspend or terminate accounts where policy breaches, legal risks, or security concerns arise. Such actions may be taken without prior notice and may be reported to relevant authorities where required by law.

Intellectual Property Protection

All content made available on www.planters.lk, including text, databases, documents, designs, logos, software, and digital assets, is protected under the Intellectual Property Act No. 36 of 2003 and related laws. Ownership of such content rests with the Company or its licensors unless expressly stated otherwise. Unauthorized copying, reproduction, distribution, or commercial use of platform content is prohibited and may result in legal action.

Legal Recognition of Electronic Records

In accordance with Sri Lankan law, all electronic records, communications, submissions, confirmations, and transactions conducted through www.planters.lk are legally valid and enforceable. Acceptance of policies through electronic means, including click-wrap confirmations, constitutes binding agreement. Digital records maintained by the platform may be relied upon for governance, audit, and legal purposes.

Privacy, Personal Data Protection, and Confidentiality

Personal data is collected and processed only for clearly defined and lawful purposes, including platform access, service delivery, communication, regulatory compliance, and system security. Data processing is carried out in accordance with the Personal Data Protection Act No. 9 of 2022, aligned with globally recognized GDPR-based principles of fairness, transparency, purpose limitation, data minimization, accuracy, security, and accountability.

Users have legally protected rights to access their personal data, request corrections, withdraw consent where applicable, and request deletion subject to statutory obligations. The platform does not sell personal data and discloses information only to authorized service providers under confidentiality obligations or to authorities where legally required. A designated Data Protection Officer oversees compliance and reports material risks to the Board.

Cookies and Analytics Transparency

www.planters.lk uses cookies and similar technologies strictly to ensure secure operation, maintain user sessions, and understand how the platform is used so that services can be improved responsibly. Essential cookies required for security, authentication, and core platform functionality operate by default.

Where analytics or other non-essential cookies are used, such cookies are activated only in accordance with applicable consent requirements and platform-level controls. No advertising, behavioral profiling, or sale of data through cookies is permitted. Users retain control over cookie settings through their browsers, subject to the understanding that disabling certain cookies may affect functionality, particularly within the Virtual Office environment.

Security, Governance, and Developer Accountability

Security and governance are built into www.planters.lk by design. The platform applies reasonable technical and organizational safeguards, including secure hosting, encrypted connections, role-based access controls, activity logging, and backup procedures. No feature, plugin, chatbot, analytics tool, payment module, or data flow may be implemented unless it complies with Board-approved policies and applicable law.

All developers, consultants, and third-party service providers are subject to formal compliance instructions and accountability requirements. Any deviation from approved governance standards is treated as a serious breach and may result in termination of engagement and further legal action.

Security Incidents and Data Breach Management

In the event of a security incident or personal data breach, the Company shall respond in accordance with Board-approved internal incident and breach-management procedures, including assessment, containment, documentation, and notification where required under applicable law. Such procedures form part of the Company's internal governance framework and are subject to oversight by the Data Protection Officer and the Board.

Dispute Engagement Prior to Litigation

Without prejudice to the Company's legal rights or jurisdictional position, users are encouraged to first raise grievances or concerns through the platform's official contact channels, enabling internal review and resolution where appropriate. This does not limit the Company's right to take immediate action or the exclusive jurisdiction of Sri Lankan courts.

Limitation of Liability

To the fullest extent permitted by Sri Lankan law, the Company shall not be liable for indirect, incidental, or consequential losses arising from the use of the platform. Users access and rely on information at their own risk. These limitations exist to protect the platform's integrity and sustainability while ensuring fair and transparent engagement.

Amendments, Version Control, and Continuing Acceptance

These non-negotiable web policies may be updated from time to time to reflect changes in law, regulation, technology, or operational scope. All updates are version-controlled, dated, and archived for governance purposes. Material amendments require Board approval. Continued use of www.planters.lk after the publication of updates constitutes acceptance of the revised policies.

Board Authority and Binding Effect

These policies are issued under the authority of the Board of Directors of Proprietary Planters Alliance (Private) Limited and form the foundation of trust on which www.planters.lk operates. They are binding on all Directors, officers, employees, consultants, developers, service providers, and users, without exception.

In simple terms, www.planters.lk exists to serve Sri Lanka's plantation sector with professionalism, legality, and integrity. Trust is not optional; it is the platform's foundation.
